Description

Research and pilot softphones. Determine if DEP should move to a cloud based phone system .

From 11/1 MS success meeting with Tony:

Rollout continues.

New issue with password changes- requires a re-start of phones. Just getting experience now with recent password changes.

Discussed alternatives like passkeys as better than scheduled password changes. Jeff clarified NJ is not ready for this and still requires the password changes. Any new policies sit with NJOIT.

The underlying issues, including DEP’s need to issue any new TEAMs phones through NJOIT could re-start a conversation toward giving each agency its own tenant.

From managers meeting 6/14: Pete still needs the solution from Angel written up (of what was already selected verbally) but is missing the explanation, step by step instructions on the solution and how to replicate it.

discussed at 6/14 Customer Success meeting. Pete was not in attendance. Tony says 2 meetings that included Pete and Kurt have occurred since 5/31 but no document yet with the anticipated costs and setup/admin. Tony has spoken to Angel. Next meeting is with me :question_mark: and Pete and Angel and Mark to set them up to be able to produce the desired document. Tony isn’t aware of Pete bringing this up in the direct meeting he already has with Kurt and Angel. Knute to review the action with Pete.

At 5/31/23 Customer Success meeting with Tony, Pete requested a document that lays out (with costs) how the HQ offices should be setup, along with a guide on all the pieces needed from all players (OIT and DEP telecoms people) replicating that for each of the other offices. This will take some educating of telecoms players what is and isn’t possible and probably means laying out tiers or scenarios at different cost levels.

Sean Smith is setting up resource IDs but hits questions of who should do what and where. For example, its not clear where and when you need a shared resource and where or when Office 365 elements need some setup or not.

Tony is committed to getting DEP telecoms with MS telecoms to speak the same language, agree on what is possible (or not) and to generate an initial document of options and costs ($$ and admin complexity). When this is clear and choices are made, the intent is to take the selections to DOIT to talk through what it takes to implement and put it all into play.

I authorized Grace to purchase 40 additional Team Voice Licenses and I ordered 50 USB phones for pilot. There’s a meeting set up on 11/30/2022 with Microsoft and OIT to move this forward. Microsoft never provided contacts but Jeff Ricciardi set up a site visit with Mike Schutz of MVC on 11/17. They are piloting (18 users) Teams Voice and are happy with it. Kurt and I had a meeting on 11/5 with Ron Niehaus of OHSP who is also piloting Teams Voice (200 users) and is also happy with it.

AT 11/2 MS Bi-Weekly success meeting.

Rob DeVleming had not followed through on follow-up meetings. Today Rob committed to sending cost info over later today. Then can establish a pilot or POC through the reseller. Kurt reviewed the EA for the 10 licenses and is seeing $12k for the year. $100 per month per user. Rob promised a clear quote with a new 40 licenses to compare to the DELL quote Kurt shared. Pete seeking a total of 50.

Pete’s takeaway from OIT is we’re on our own, and MS Teams phone may be too expensive. Next step is to get clear on actual costs which have always been hard to unravel and understand. Teams could be cheaper and we could get back the previous phone costs to pay the MS EA (will go up by premium increase too). We can charge the programs per person. Kurt to estimate costs from what he knows and generate a per phone cost.

Discussed at Bi-weekly synch 10/5 - Pete described main challenge is working through OIT as tenant owner - Pete to meet with TelCom lead upcoming to discuss this.

Tony- OIT and DEP notion of “management” differ. Pete - yes, and they should: OIT- security, billing, etc. with DEP getting ability to make new resource assignments to staff. But its not clear what OIT sees as their role. How will we work on issues of call quality? can DEP get access to tenant wide call quality info? Probably not from OIT perspective.

DEP is in a holding pattern with ATT solution as they have “deprioritized” with only a 1 year window to killing of service if they choose to. Pete is looking into options including MS Teams phones.
