OPRA Initiative - Digitize Existing Hard Copy - In-house Scanning/Digitization Workflows and Processes

Description

This is the project for developing internal scanning process workflows and scanning prioritization with the program areas

Analyze, prioritize and prepare paper and film records for digital imaging and ingestion into HighView. Develop in-house processes and procedures for internal scanning and digital workflows to negate the need for paper documents to go to warehouse storage. Implement HighView workflows and utilize HighView batch scanning functionality to facilitate digitization of received paper upon receipt so that the digital copies can be utilized throughout the normal business process workflow and the paper can be shipped to long term storage or destroyed

Problem Statement

Presently there are no processes or procedures to digitally manage paper documents received by the Department, requiring these paper documents to be passed along through the regular business process (including work from home, and ultimately end up in the warehouse, requiring that paper to be retrieved for OPRA requests

Project Justification

Better processes will facilitate increased economic development and Brownfields development goals
